Start with the two views you actually need
A unified inbox and separate account inboxes solve different problems. The unified view is your triage desk: it shows new work across every connected account. The account view is where context matters, such as using the correct signature, contact list, labels, and sender identity.
The most useful Mac setup makes both views immediate. You should be able to scan everything, then move into a specific account without signing out, opening another browser profile, or waiting for the message list to reload.

Keep Gmail as the source of truth

The fastest workflow is consistent: scan, decide, act, and move on. Avoid using the unified inbox as a permanent storage pile. Treat it as the place where messages enter your attention, then archive, label, snooze, reply, or schedule follow-up.

- Use keyboard navigation or the command center to move quickly.
- Archive completed mail instead of leaving everything in the inbox.
- Snooze work that belongs to a future date.
- Use per-account signatures so the right identity is automatic.
Choose secure account connection
For Gmail and Google Workspace, OAuth is preferable to handing an app your Google password. OAuth lets Google show the requested permissions and gives you a central place to revoke access. On macOS, saved authorization tokens should be protected in Keychain rather than stored as readable preferences.
