How to manage Microsoft 365 and Outlook email on a Mac

Microsoft 365 and Outlook accounts often live beside Gmail, client mailboxes, and personal addresses. The challenge is not simply connecting the account; it is keeping the correct sender identity, folders, contacts, and security model while reducing the time spent switching apps or browser sessions.

Use Microsoft OAuth instead of sharing a password

A modern Microsoft mail connection should send you to Microsoft's sign-in page, show the requested access, and return an authorization token to the app. The token can be revoked without changing the Microsoft account password.

Unibox uses Microsoft OAuth for Microsoft 365 and Outlook accounts and stores the resulting authorization in macOS Keychain. It does not ask you to type a Microsoft password into the app's own account form.

Keep the Microsoft account recognizable

A unified inbox is useful for triage, but business email still needs a clear identity. Give the account a friendly name, keep the actual address visible beneath it, and confirm the correct signature before sending.

Use the account-specific view when reviewing Sent, Drafts, Archive, Spam, Trash, or provider folders. Use All Inboxes when the immediate question is simply what needs attention across every address.

Test the folder and sending workflow

Before moving your daily workflow, test a realistic sequence: receive a message, reply, add an attachment, save a draft, send it, and confirm the result appears in Sent. Then archive, mark unread, move, and trash a test conversation.

  • Confirm the From address and signature before sending.
  • Check that provider folders appear where you expect them.
  • Use search inside the Microsoft account before searching all accounts.
  • Remove the test message from Trash when you finish.

Combine Microsoft and Gmail without merging them

A combined view does not merge the provider accounts. The mail stays with Microsoft or Google, and each account retains its credentials, folders, contacts, sender identity, and settings. The unified list is a view across those separate sources.

This distinction matters for consultants, founders, and small teams who may use Microsoft 365 for one organization and Google Workspace for another. A faster workflow should never make the sending identity ambiguous.

Know the current product boundary

Unibox supports Microsoft 365 and Outlook mail for an individual Mac workflow. It is not an enterprise Exchange administration console, delegated shared-mailbox system, compliance archive, or team help desk. Organizations with those requirements should use tools designed for central administration and retention.
